The front-of-house receptionist has an integral role in the management and delivery of the IOM3 venue hire and our team hub. As part of the Front of House team, the receptionist will be the first point of contact across the Institute for our team, tenants and guests. The Front of House team comprises three people including a Facilities and AV Assistant. 

You will report to the Business Support Manager.

The ideal candidate it detail-oriented, professional and reliable, with excellent organisation and communication skills. You must be confident with IT and AV equipment, willing to undergo first aid, fire marshal, and health and safety training.

Responsibilities: 

  • Greeting visitors professionally, including opening and closing the building
  • Answering and directing switchboard calls between London and Grantham hubs
  • Responsible for internal and external room bookings for both London and Grantham hubs, including arranging couriers/taxis/travel/accommodation for staff members and volunteers
  • Preparing information for upcoming events and liaising requirements with catering company and Facilities Assistant – including for the Grantham hub
  • Maintaining stationery stock and ordering when necessary for both London and Grantham hubs
  • Providing secretarial and administrative assistance to the Director of Business Support
  • Distributing incoming mail to the relevant staff members and tenants
  • General office administration, management of our guest cloakroom
  • Compiling and reporting consumption information for Accounts Team
  • Supporting the Business Support Manager in liaising with contracted-out cleaning and other service providers
  • Supporting the Facilities Assistant with AV and VC facilities
