Terms & conditions

Definitions

  1. In these conditions the building means that comprising 1 Carlton House Terrace, London, SW1Y 5DB. The Hired Premises means the room or rooms in the building hired to the hirer.
  2. The owner means The Institute of Materials, Minerals & Mining.
  3. The hirer means the person or company/organisation named as such on the application form overleaf.
  4. Facilities mean the service, which the owner may agree to provide under the hire agreement.
  5. The agreement means the agreement made between the owner and the hirer for the hire of the rooms and provision of the services.

 

Hire: Subject to the conditions of the owner gives the hirer the right for the hirer and all persons duly authorised by it to use the rooms for the hire period for the sole purpose of the function and the owner agrees to provide the services.

 

Application: All applications must be confirmed in writing, by completing the application form and by providing a list of participants 7 days prior to the date of the meeting.

 

Payment: In the event of a function being cancelled, the owner reserves the right to apply the following cancellation charges:

 

  1. 7 days or less: 100% of room hire charges
  2. Within 14 days or less: 50% of room hire charges (Method of preferred payment to be confirmed at time of booking). Due to its location, function and related security considerations, in extraordinary circumstances, it may be necessary for the owner, i.e. The Institute of Materials, Minerals & Mining to cancel or offer an alternative date to the hirer up to one month in advance of the event. In the unlikely event of this happening, any deposit will be refunded if a suitable new date cannot be found.

 

Provision of information: The hirer shall, at least 7 working days prior to the commencement of the hire period provide the owner with the following:

 

  1. A seating plan
  2. A list of participants attending
  3. A detailed programme of the function
  4. A list of services to be provided by the owner under the hire agreement.

 

Termination by the owner: The owner reserves the right to vet/reject a function if it does not comply with the Institute's aims or contravenes the lease of the building.

 

Hirer's obligation: It is the hirer's obligation to acquaint itself and to comply with all restrictions imposed by authorities and laid down by the owner. It is forbidden to remove any artefacts from the building, or attach anything to the walls or damage the structural work in any form.

 

There is no intention on the part of the owner, i.e. the Institute, or on the part of the hirer to create a tenancy of any sort by entering into this agreement. The use of 1 Carlton House Terrace facilities does not signify support or association with any outside organisation involved in the event.
